Rules & SOPs

Official 2025-26 requirements drawn from the latest IMCS FYP student guidelines booklet, including proposal structure, semester outputs, final deliverables, and the plagiarism and AI-use policy.

Proposal Requirements

Include title, student details, supervisor, problem statement, background, objectives, scope, and beneficiaries.
Add SDG or thematic alignment, literature review or existing system analysis, methodology, tools, architecture, expected deliverables, and timeline.
For AI or data-led work, specify dataset details, ethical considerations, and team responsibilities up front.

FYP-I Outputs

Approved proposal and literature review.
Software requirements or technical specification, system design, and early prototype or proof of concept.
Work breakdown, progress log, and supervisor meeting record for the FYP-I presentation and viva.

FYP-II Outputs

Complete implementation with integrated modules, testing evidence, and evaluated results.
Final report, deployment material, user guidance, presentation slides, and exhibition poster.
Final demo, viva voce, and all submission artifacts required by the department.

Required Deliverables

Final report or thesis, presentation slides, working prototype, poster, and source code.
Dataset where applicable, user manual, installation or deployment guide, and testing or result evidence.
Supervisor certificate and student contribution certificate as part of the final submission set.

Ethics, Plagiarism, and AI Use

Do not copy text, code, diagrams, datasets, reports, or project ideas without acknowledgement.
Use AI tools only as assistance, not as a replacement for original analysis, implementation, or understanding.
Declare where AI was used, what tool was used, what help it provided, and confirm students reviewed and verified the final work.

Monitoring and Change Control

Teams must meet supervisors regularly and maintain progress evidence for reviews.
A project may be blocked from final evaluation if it shows poor progress, repeated absence, or missing documents.
Changes to topic, team, scope, or supervisor require committee approval and major changes should not normally happen after the FYP-II mid review.

Additional Local SOP Notes

Supervision

A faculty member with designation lecturer and above is eligible for supervision. A faculty member can supervise up to five FYCPs and co-supervise one FYCP per semester.

Students

Student is eligible for FYCP-I after completion of 6 semesters. A group can have up to 3 members and should belong to the same degree session.

Evaluation

FYCP-I and FYCP-II each have staged evaluations with proposal reviews, pre-evaluation checks, and final presentations before committee.
